Proposal

Bi-Weekly Office Cleaning · Meridian Business Park, Suite 210

Scope

What's included

A full clean of all common areas, offices, break room, and restrooms: trash removal, surface dusting and disinfecting, vacuuming and mopping all floors, and restocking paper products and hand soap.

Cleaning schedule

Service runs every other Tuesday evening after close, starting with a deep clean on the first visit to establish a baseline, then recurring bi-weekly maintenance after that.

Supplies & equipment

We bring our own commercial-grade equipment, EPA-registered disinfectants, and eco-friendly supplies. Paper products are restocked from your on-site closet as part of the restroom service.

What's not included

Carpet shampooing, upholstery cleaning, and exterior window washing are available as one-time add-ons. Ask and we'll quote them separately.

ItemPrice
Initial deep clean (one-time)$420.00
Bi-weekly recurring cleaning (per visit)$180.00
Restroom sanitizing & restocking (per visit)$45.00
Interior window cleaning (quarterly)$150.00
Total$795.00

Terms

A 20% deposit reserves your first cleaning date; the balance is invoiced after each visit on net-15 terms. This proposal is valid for 14 days from the date sent. Pricing may change if scheduling slips past that window. Any add-on services requested outside this scope, like deep-cleaning ovens or fridges, will be quoted separately before we start.

How to write a cleaning proposal

  1. 01

Walk the space before you quote

Do an in-person or video walkthrough to count rooms and square footage, note high-traffic areas, and spot anything (pet hair, heavy grease, construction dust) that changes the first visit.

  2. 02

List every space and task, not just square footage

Break the scope into offices, restrooms, break rooms, and common areas with the specific tasks in each. A client comparing quotes wants to see what's actually being cleaned.

  3. 03

Price by frequency, not just size

Weekly, bi-weekly, and monthly rates differ because your drive time and setup cost stay fixed per visit. Charge a premium for the first deep clean that establishes the baseline.

  4. 04

    Spell out what's excluded

Carpet shampooing, window washing, and post-construction cleanup are common scope-creep points. Listing them as add-ons upfront avoids an awkward conversation later.

  5. 05

    Set payment terms up front

State the deposit, invoicing cadence, and how long the quote is valid. Recurring cleaning contracts run on trust. Clear terms build it from the first proposal.

  6. 06

Send it the same day you quote

Cleaning contracts move fast and clients are usually comparing several bids. A same-day proposal wins jobs that a week-later follow-up loses.

Cleaning proposal FAQ

What should a cleaning proposal include?

The rooms and tasks covered, how often you'll come, what supplies you bring, per-visit or monthly pricing, and payment terms. Specifics beat a vague 'full cleaning service' every time.

How long should a cleaning proposal be?

One page. Business owners deciding on a cleaning contract want to scan the schedule and price, not read a sales pitch.

How do I price a cleaning job?

Most cleaners price per visit based on square footage and task list, then adjust for frequency. Weekly service usually runs cheaper per visit than monthly because setup time is spread out more often.

When should I follow up after sending a cleaning proposal?

Two to three business days. Commercial cleaning decisions usually involve comparing a few bids, so a prompt, polite check-in keeps you in the running.

Should I charge extra for a first-time deep clean?

Yes. The first visit takes longer because there's no maintained baseline. Build that into a separate, higher-priced line item rather than folding it into the recurring rate.

Do I need a walkthrough before quoting a commercial space?

For anything beyond a small office, yes, even a video walkthrough. Square footage alone hides clutter, restroom count, and floor types that change your real time on site.
